Rentular ("we", "us", "our") is committed to protecting your personal data. This Privacy Policy explains how we collect, use, and safeguard information when you use our property management platform, in compliance with the General Data Protection Regulation (GDPR).

1. Data Controller

Rentular is the data controller responsible for your personal data. We are based in Belgium and subject to Belgian and European data protection law.

2. Data We Collect

We collect and process the following categories of personal data:

  • Name (first and last name) of landlords and tenants
  • Email address
  • Phone number
  • National register number (rijksregisternummer) for tenant identification
  • IBAN bank account number for rent collection
  • Property information (address, cadastral reference, EPC data)
  • Lease details (type, duration, rent amounts, charges)
  • Payment history and transaction records

3. Purpose of Processing

We process your data for the following purposes:

  • Managing rental properties, leases, and tenant relationships
  • Processing and tracking rent payments, including SEPA direct debits
  • Sending payment reminders and lease-related communications
  • Calculating annual rent indexation based on the Belgian health index
  • Complying with legal obligations (tax, accounting, Belgian rental law)

4. Legal Basis

We process your personal data based on the following legal grounds under Article 6 GDPR:

  • Contract performance (Art. 6(1)(b)): Processing is necessary to provide the Rentular service you signed up for.
  • Legitimate interest (Art. 6(1)(f)): Sending payment reminders, generating reports, and improving the service.
  • Legal obligation (Art. 6(1)(c)): Complying with Belgian tax and accounting requirements.

5. Data Retention

We retain your personal data for as long as your account is active and as needed to provide our services. After account deletion, we may retain certain data for up to 10 years to comply with Belgian legal and accounting obligations. Payment records may be retained as required by tax law. You can request deletion of your account and data at any time.

6. Your Rights

Under the GDPR, you have the following rights regarding your personal data:

  • Right of access - request a copy of your personal data
  • Right to rectification - correct inaccurate or incomplete data
  • Right to erasure - request deletion of your data (subject to legal retention periods)
  • Right to data portability - receive your data in a structured, machine-readable format
  • Right to restriction - request limited processing of your data
  • Right to object - object to processing based on legitimate interest

To exercise any of these rights, contact us at privacy@rentular.com. We will respond within 30 days.

You also have the right to lodge a complaint with the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit / Autorité de protection des données).

7. Cookies

Rentular uses essential cookies required for the application to function (authentication, session management, language preference). We do not use tracking or advertising cookies. No cookie consent banner is needed for strictly necessary cookies under the ePrivacy Directive.

8. Third-Party Services

We share data with the following third-party processors as necessary to operate the service:

  • Stripe - subscription billing and payment processing
  • GoCardless - SEPA direct debit collection for rent payments
  • Email provider - transactional emails (payment reminders, notifications)

All third-party processors are GDPR-compliant and process data under Data Processing Agreements (DPAs). Data may be transferred outside the EEA only with appropriate safeguards (Standard Contractual Clauses).

9. Data Security

We implement appropriate technical and organizational measures to protect your personal data, including encryption in transit (TLS) and at rest, access controls, and regular security reviews. Rentular is open-source (AGPL-3.0), allowing independent security audits of the codebase.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes via email or through the application. The "Last updated" date at the top reflects the most recent revision.
